This lack of direction consumes both time and energy, causing unnecessary mental strain on top of the daily pressures I already face. Consequently, I find myself easily distracted, leading to important but non-urgent tasks being neglected and habits failing to establish.

Recently, however, I discovered a solution that is straightforward and efficient, designed to keep distractions at bay, as proposed by Nir Eyal: Timeboxed Scheduling.

Nir emphasizes that effective time management revolves around focusing on what truly matters rather than merely staying busy. This begins with identifying our core values.

Section 1.1: Implementing Timeboxing

To apply this method, I categorize my time, including periods outside of work and rest, into various buckets. For example:

  • Time dedicated to family
  • Time for learning (reading, documentaries, talks)
  • Time for nurturing relationships (catching up with friends, group discussions)
  • Time for creative endeavors (researching, writing)
  • Time for company management
  • Time for physical fitness

Next, I evaluate when I am most alert and what activities foster a natural workflow, establishing specific guidelines such as:

  • Morning workouts
  • Focused creative tasks in the first half of the day
  • Afternoon meetings
  • Passive learning during late afternoons to evenings
  • Capping learning and writing sessions at 60 minutes
  • Limiting meetings to a maximum of 90 minutes

Before adding tasks to my calendar, I consider two additional factors.

When my father passed away a few months back, I suddenly found myself managing a rapidly growing company with over 100 employees across 15 teams, facing an overwhelming influx of challenges. Initially, I was reactive, merely addressing immediate issues as they arose.

While I won’t delve into strategic planning here, it's vital to break down your long-term goals (10, 5, or 3 years) into smaller monthly and weekly targets. This makes your objectives more manageable and actionable, allowing you to progress toward your vision with clarity.

Chapter 2: Bringing It All Together

Now, let's discuss how to integrate everything into your calendar. With two email accounts—one for work and another for personal matters—I sync both Google Calendars into my Apple Calendar.

To keep my activities organized, I use color-coding for distinct categories such as:

  • Meetings
  • Tasks
  • Birthday reminders
  • Family events

This organization results in a clear view of my schedule:

For smaller tasks that can be completed in under 15 minutes, I group them under a single event labeled ‘Small Tasks’ and note them in the ‘Notes’ section.

I appreciate the simplicity of the timeboxing technique. Keeping all my tasks in one location eliminates the need to juggle multiple tabs, allowing for easy adjustments.

This method enhances my focus, enabling me to concentrate on one task at a time while maintaining control over my workflow. It also provides an overview of how I allocate my time, helping me recognize burnout triggers, such as back-to-back four-hour meetings. I’ve since implemented a rule to maintain 30-minute breaks between meetings.
